Description

The Council requires a contractor to provide a service for the storage, disposal and retrieval of its paper records.

Key components of contract:
o The transfer of our existing storage boxes to the new contractor (If applicable)
o Arranging Collection of new storage boxes to go into storage
o The Council must be able to use a contractor on-line portal to request records, submit instructions, monitor inventory, and track progress of retrieval, submit and monitor disposal requests. Administrative access and user access is required.
o Delivery / retrieval service for records when required (both next day, and in case of emergency; same day) and the ability to have records scanned back securely to BSI 1008 standards.
o Secure, safe and compliant storage of the records.
o Secure and evidenced certified destruction of records when required (at your premises)
o Effective Contract Management, Account Management and performance monitoring
o Auditing and advice on optimum storage performance would be useful
o A simple, accurate and efficient invoice process, preferably one invoice per month

Contract Period
The Contract period will be for an initial period of 5 years with the option to extend the contract by a further 2 years. The commencement date for the contract will be 1 April 2020
