Description

PLEASE NOTE THE DEADLINE FOR QUESTIONS IS 5PM ON FRIDAY 2ND MARCH

The National Museum of the Royal Navy (NMRN) wishes to procure a new Digital Asset Management System (DAMS) to provide a central repository for all of our digital media across all departments.
We are about to embark on a multi-million pound project, titled 'SeaMore', which will revolutionise the way our collection is accessed by the public. It is supported by the Heritage Lottery Fund (HLF) and the DAMS is a key component of being able to deliver this through online access and other digital technologies.

Questions asked since publishing the ITT:-

Our solution is a cloud based offering. Would it be possible, as a rough estimate, to divide your data, across 100% between -

Frequent Access - 10% (however useful to know costs for 70%)
Infrequent Access - 20%
Glacier/Storage/Archive - 70% (however useful to know costs for 10%)

One other question, 'j', in Essential Requirements, 'Easy Publishing tools', could you provide a bit more detail here please?
The easy publishing tools was to be able to take and image from the system and publish it to our website or social media channels in an easy way.

Are you looking for an off-the-shelf solution (i.e. a system that is already developed and that will only need to be installed with limited configuration)?
Pretty much yes, the only caveat being that we need to be able to link it to AdLib, our collections management system. I doubt we will need many bespoke features and that we would be looking for something fairly standard.

Physically what is available at all sites in terms of media formats and what metadata already exists?
We generally have images, video and documents (PDF, Word etc). Within those simple formats such as JPEG, TIFF, WMV, AVI, MP4 etc. In terms of metadata we only have limited data from the folder structures and any metadata attached to the media mentioned.
You are hoping to batch ingest so this is helpful but how much have you got to ingest- volume n hours or number of tapes/ files that already exist somewhere
Not sure on total numbers of files, but around 5-6 TB of data to ingest currently.
What connectivity do those systems / storage location have?
Our main site has regular 1Gbps networking and that is where all the data is currently held.
Are the locations to be live update sites.
Some will be ingesting images, but not in huge quantities. It would also be useful to be able to run these batch ingest jobs overnight.
What physical activities do you want to provide for once ingested? Basic searches, but also publishing to websites, social media and potentially to within our museum galleries for the public to search with.
Understanding if you are interested in things like Matrixstore software and hardware as a service - do you have storage already and is this just a metadata exercise?
We do have storage covering these images already, but would be looking to source additional storage in the coming years with the aim eventually to create an isolated storage area for the DAMS.
Do you need resilience- this is quite a long discussion over governance and protection and security of assets, especially if you are working in the cloud.
We need to ensure our data is secure and accessible. I'd say we don't need a gold standard of resilience, but something that will be reliable and robust.
Is any of this data sensitive?
Yes, some is.
Have you decided on how you are to tag your assets - whi
