Description

Portsmouth City Council, 'the Authority', is inviting tenders from suitably qualified catering equipment contractors to deliver servicing, maintenance, repair and installation of catering equipment.

Background information
Portsmouth City Council, Property and Housing Service has a number of buildings where catering appliances are installed. These buildings include schools, academies, elderly sheltered schemes, supported living sites for disabled adults, care homes, offices community rooms and community centres.

2. Contract value and term
The Authority is targeting to have awarded the contract by 17th October 2016 with a subsequent commencement date of 1st November 2016.

The estimated value of the contract is £100,000 per annum.

Contract Period & Possible Extensions
The initial Contract period will be for 2 years with possibility of extending the term by a further 2 years to a maximum total term of 4 years in increments to be agreed, subject to the agreement and performance of both parties.

3. Key objectives and Scope of Services

3.2 Scope of Services
The contract will allow for the following works:
• Service of all equipment at each address listed on the schedule
• Follow up services annually at 12 month intervals
• Breakdown callout service to be available between the hours of 7.30am and 6.00pm, 7 days a week including weekends and Bank Holidays.
• The callout response time shall be within 2 or 4 hours as required by the contract administrator.
• Emergency short-term loan of refrigeration equipment
• Replacement of non-serviceable equipment, where necessary
• Installation of new additional equipment, where necessary

3.3 Variant Bids
Tenderers are NOT permitted to submit variant bids.

4. Experience & Qualities required
The Supplier should have a proven track record of:
• Servicing maintenance and repair of catering equipment
• Installation of catering equipment
• Working in residential building and schools

The Supplier shall be expected to demonstrate the following attributes to assist the Authority in its objectives:

The form of contract used will be NEC3 Term Service Contract.
