Description
We are looking under CCS Framework RM6116 (Lots 4a/b) for a supplier to provide the necessary work and long-term support to update our telephony system utilising our Teams phone licenses as part of our E5 software license.
Our key requirements are:
• We have a total of 80 current staff members but would like the flexibility and capacity to increase this, if required, to 120 potential users. Our intention is to keep our DDI Range of 01590 646600 - 646699.
• A main switchboard with a clear and understandable menu and call options (and out of hours messaging and mailbox). We have 4 switch board options, but the most frequently used options are planning, reception and the information message line for updates about the National Park.
• Voice message system that can convert the message into a text format to access and respond to. We are happy to take suggestions on what text format to use based on your expertise and experience.
The new phone system must be easily accessible through computers, laptops, and other portable devices.
We require headsets for our existing staff members and a few spares - please quote for 70 headsets will be both ears covered, and 20 will be single ear. Our reception desk will require a physical phone system/handset alongside a wireless / professional headset too.
Some further detailed requirements are:
• Planning hotline which operates 3 mornings a week - team take it in turns to log in to cover (out of hours message required, no mailbox)
• Education line - Option for one or more to log in when in office (mailbox and out of hours message required)
• Ability to set customised hold music
• User mailbox messages - easy to set up messages with ability to do remotely
• Ability for users to easily access system from their laptop and/or mobile phone
• Business continuity / disaster recovery divert function
