Description

Following the successful implementation of a new-look external website, focused on raising the profile of the University externally, it has now become apparent that the ageing design of the internally-focused Intranet requires urgent review.

Upon completion, this project will have delivered a new or renewed environment, currently served by the Intranet system that facilitates:
1. The dissemination of news and information to university staff and students
2. Content creation and management, approval workflow
3. Documentation and technical and process training for content editors and support personnel.
4. Continual Service Improvement (CSI) plan for the system(s) finally delivered.
5. Student portal
6. Custom interactive functional systems. For example, the Degree Calculator, Study Room Bookings, Professional Placements etc.
7. Collaboration, workflow and document storage for project teams and departments
Note: Listed in priority order
The deliverables must reflect the needs of the users that have been identified through feedback from staff and students and must be personalised.

Leeds Trinity University would like to explore two Scenarios. Scenario one is to procure a portal that would provide access to information only and scenario two is a portal and a content management system.

Tenderers may submit a proposal that responds to a single scenario, or both scenarios.

Scenario one - Portal Only

To provide a single point of access to existing information systems such as Moodle, SITS and office 365 taking a 'mobile first' approach. The management of content, web pages, documents and other information assets is considered out of scope and would be addressed by LTU separately.

Staff and students have different needs related to both the information they require and the means by which they access it. Proposals for this scenario should detail how the different needs will be met.

Students would be able to view their timetable information, messages from course tutors, assignment and other key date information. Room bookings and print credit information are also examples of key information that would be made available.

Staff would be able to view corporate news alerts, information from HR and finance systems as well as emails and calendar information.

The total (year one) budget for scenario one is £25,000 including VAT.

Scenario 2 - Portal and Content Management System

In addition to the portal described in option one, proposals covering this scenario should also include how your application supports the management of content such as web pages, documents, images etc. Management includes but is not limited to:

• Ensuring consistency and quality
• Versions history
• Publishing workflow
• Retention and deletion schedules
• Role based access permissions
• Navigation and searching
