Description

The University of Bristol has approved a business case to procure a system to manage the accommodation functions of its Residential and Hospitality Services Division. The University would expect to deploy the new solution "out of the box" with minimal configuration and it is therefore of the utmost importance that the chosen system offers a suitable level of relevant functionality and is a close fit to the specified requirements.

Full requirements are detailed later in the document but as a minimum the University would expect the selected product to offer the high-level functionality below:

Accommodation Allocation -
Bulk and targeted email communications
Applications for accommodation
Automated accommodation allocation
E-inductions
Logging of arrivals, departures, transfers, leavers and void/vacancy management

Facilities Management -
Room inventory including asset tagging
Room check-in and check-out
Damage charges
Post and parcels
Health & Safety checklists
Maintenance job logging and tracking for students and staff
Maintenance checks

Pastoral Care -
Incident logging and tracking including disciplinary action
Pastoral care event registration

The initial contract period is 5 years plus up to a further 2 years if the options to extend are exercised. The contract duration in Section 1 assumes the options to extend are exercised in full.

The minimum contract value is calculated over 5 years.
