CUSTOMER: Defence Medical Services HQ, Ministry of Defence (The Authority)
DATE RESPONSE REQUIRED: 20.05.2022

Dear Potential Provider,

We would like to notify you of a potential upcoming requirement, and by doing so we are keen to understand where the market stands in terms of our requirement below. This Request for Information (RFI) seeks information relating to the provision of 3D motion capture system servicing/warranty cover which the Authority requires for use at the Defence Medical Rehabilitation Centre (DMRC).

CURRENT SITUATION
1. The role of the Biomechanics Performance Lab (BPL) within the Academic Department of Military Rehabilitation (ADMR) at the Defence Military Rehabilitation Centre (DMRC) is to provide clinical biomechanical support to military patients and to undertake a high standard of military related research.

2. The BPL contains a number of pieces of equipment that require servicing and warranty in the event of a fault, namely the 3D motion capture system. This is used on a weekly, if not daily, basis to undertake patient focus assessments or data collection for research projects. Without the correct servicing and warranty, outputs will not be optimal or accurate. Therefore, to maintain and optimise the labs output, ongoing servicing and warranty is required.

REQUIREMENT

4. The Authority requires servicing/warranty cover for the 3D motion capture system to ensure a high standard of clinical and research outputs.

5. The requirement is for 3 years of servicing/warranty as per the key user requirements below:
Servicing/warranty of the 3D motion capture system:

Support plan for Vantage and Vue cameras, including cabling and system hardware e.g., lock boxes etc. One twelve-monthly system optimisation by the Contractor (including the cost of necessary equipment e.g., scaffolding). Free collection of faulty equipment and return of fixed items. Faulty equipment is to be removed and reinstalled by the Contractor (including the cost of necessary equipment e.g., scaffolding) within 10 working days of the reported fault.

Software maintenance releases and upgrades, to be provided to the Authority within 20 working days of release for installation on the computer (changes to software cannot be undertaken remotely as the computers are not connected to a network or internet). If unable to provide the Authority with the upgrade an onsite installation by the Contractor will be required, date to be agreed with the Authority.

Unlimited phone, email and web tech support, during working hours (08.00 - 18.00 hrs, Monday to Friday). Initial response to faults within 1 working day, with faults not requiring an onsite visit resolved within 5 working days, if an onsite visit is required faults are to be resolved within 10 working days.

On site-training sessions. Unlimited remote assisted training.

20 Retro-reflective markers free of cost on an annual basis.
