Description

The British Transport Police require a consultant to assess, advise, guide and design a BTP Force Library. It is not to replace any existing systems or processes but to provide a unique storage area specifically for digital records to be deposited, actively managed, reviewed and disposed of when needed.

BTP requires a central, digital repository for an unspecified number of records that is able to be added to and adapted over time and fulfils a number of criteria. The library will be owned and managed by the Force Records Management team but will potentially have the option for input, collation and review of the records held from several functions and roles within the force. Based on existing systems it is likely that a SharePoint site would be a good option (and the force is already using SharePoint to a degree) but if other options fit the criteria more explicitly these are to be considered against the known requirements.

The Force requires a library to comply with several legislative and NPCC (National Police Chiefs Council) guidance requirements, specifically NPCC National Retention Schedule / Force Retention Schedules, Data Protection legislation, Freedom of Information Act (FoI), Management of Police Information (MoPI) and Archiving in the public interest.

The consultant(s) should seek to assess the requirements of the library and provide the best solution. They are required to provide the methodology of the system, technical and practical processes and policies, details on resourcing and support requirements and any additional soft/hardware needed to achieve this. They are also required to provide the approximate cost for the system and the potential professional services to assist BTP in installation, configuration etc.

This RFQ has been published 27th January with a deadline of 12:00 hrs 10th February. Please note the contract start and end dates are estimated and are to be confirmed.
