Description
1.Maintenance of existing Coin Handling Equipment
Post Office Limited (POL) have a requirement for preventative and corrective maintenance for a range of coin processing machines, including Bullion Packaging Systems and active coin sorters, most are manufactured and/ or provided by Scan Coin/Suzohapp.
On site engineer cover provided by the incumbent, at its Birmingham, Midway Hse operation. Belfast and Glasgow operate with reactive maintenance cover and planned preventative maintenance visits. Hemel Hempstead has a working BPS, this is not currently operational and the equipment is held for contingency and or spares cannibalisation.
The active coin sorters at Post Office sites require regular testing and calibration to comply with the requirements of the Royal Mint (RM) and by extension, HM Treasury. The Supplier shall be required to ensure active coin sorters are able to meet with HM Treasury's objective to protect the integrity of UK coin, via the proposed machine testing framework and cash centre accreditation.
The Supplier shall make mechanical adjustments and replace necessary components with manufacturer approved parts to ensure mechanical compliance with the RM standards/guidelines.
The Supplier must have access to the manufacturers' service software on the coin sorters to calibrate the machines and maintain the RM approved configurations.
The supplier shall be required to work with 3rd party suppliers of Bullion and Sachet film and assist POL in any evaluation of film changes that may impact maintenance or operation of equipment.
Current POL owned equipment is listed in the ITT. Maintenance of the existing estate may include cannibalisation of POL 'spare and or redundant BPS lines' for parts, where viable, to reduce costs.
2.Provision of New equipment
POL may have a requirement for provision of new equipment to replace any existing equipment that is beyond economical repair or deemed End of Life (EOL). The new equipment may be replacement "like for like" equipment or any equipment of upgraded specification that Post Office may choose to purchase.
Equipment packaging solutions shall comply with the standards laid out by UK Finance, reference Standard 21, September 2019, copies of which can be obtained by contacting:

Equipment supplied to POL shall be required to meet any Coin checking and validation standards as directed by RM, HM Treasury or UK finance.
POL may seek alternative solutions to the current style of Bullion production and coin validation if the supplier can demonstrate solutions that provide cost benefits,
Pricing for new or replacement equipment shall be provided to POL for both cash purchase (CapEX), lease to purchase and fixed term rental options.
3. The Supplier may be requested to provide other associated services in the future, such as the supply of Bullion film, Sachet film and a closed loop recycling scheme .
