Description
Filey Town Council is inviting contractors to tender for its Contract for the Maintenance of Public and Commemorative Seating.
The Town Council is seeking tenders for a 3-year contract period.
Filey Town Council manages over 400 Public, Non-Commemorative and Commemorative Seats within its boundaries. Members of the public are invited to make a donation towards the maintenance of a seats.
Companies wishing to tender should be suitably qualified with experience of installing, repairing and maintaining benches.
Tenders must be submitted by post in an envelope clearly marked "TENDER CONTRACT - PUBLIC SEATING". Late tenders will not be accepted.

Filey Town Council manages over 400 Public, Non-Commemorative and Commemorative Seats within its boundaries. Members of the public are invited to make a donation towards the maintenance of a seats.
Some of the 400 seats that are managed by the Town Council belong to Scarborough Borough Council and are maintained by the Town Council. The remaining seats are owned and maintained by the Town Council.
For the purposes of the contract seats there will be no distinction between the two forms of ownership, with the contractor being called upon to maintain both sets.
Each seat will receive maintenance once every 3 years. The regular maintenance consists of a clean, stain and paint. Basic repairs might also be made at his time, for instance the tightening of screws, removal of graffiti, etc.
Seats are also reactively repaired or occasionally replaced should they suffer damage, found to be defective or are affected by vandalism. The replacement of the Perspex plaques on the seats is a common feature of reactive repair.
If repairs do become necessary, the seat may be temporarily taken from the site and replaced once the works have been completed.
Tenders must be submitted in line with the guidance in the tender pack:
i. An illustration of the way in which the Contractor proposes to carry out the Contract, including his management and supervisory structure;
ii. Details of 2 previous contracts where references can be sought;
iii. a detailed Risk Assessment which highlights all risks/hazards and control measures for all associated tasks which complies with current Health & Safety legislation, and;
iv. a copy of their current Public and Employer Liability Insurance.
All the documents must be placed in an envelope, which must then be sealed. The envelope shall in no circumstances bear any name or mark indicating the name of the sender. Tenders should be sent by registered post, recorded delivery service, or delivered by hand and addressed to the Town Clerk, TENDER CONTRACT - PUBLIC SEATING, Council Offices, 52A Queen Street, Filey, YO14 9HE.
