The University is utilising an electronic Tendering tool ('In-Tend') to manage this Procurement and communicate with Tenderers. Accordingly, there will be no hard copy documents issued to organisations and all communications with the University including the submission of Invitation to Tender Stage Response(s) will be conducted via In-Tend at https://in-tendhost.co.uk/universityofsouthampton.

Tenderers are advised to ensure they actively monitor communications issued by the University via the In-tend portal. It is recommended that Tenderers register a shared email address, or alternatively ensure they have an adequate number of individuals registered with the system in order to ensure receipt of uninterrupted communications from the system. Regular monitoring of the portal is the responsibility of the Tenderer.

Tenderers are advised that some communications may require a response from them relating to the procurement and a failure to comply with the request could adversely affect the Tender submission and may result in the organisation not being permitted to participate further in the procurement. Communications can be released at any time during the procurement process, including following submission deadlines.

Tenderers are advised that user guides on how to use the system including how to communicate and make a response(s) are available by clicking on the 'Help' button on the home page of In-Tend.
Tenderers are advised to check that relevant system settings are enabled to allow download and upload of documentation to the In-Tend portal, e.g. pop up blockers.
The system will only permit you to submit one response. You can upload as many documents as necessary but once your Tender has been submitted no further documents can be sent to the University. If there are any omissions the University may be unable to progress your proposal.

Tenderers are reminded that a maximum file size of 20MB applies to any one file to be uploaded via the In-Tend portal. Furthermore, at certain peak times of the day, especially over the lunchtime period (11.00am - 2:00pm) network speeds can slow. Please ensure you allow sufficient time to upload the whole of your document in its entirety before the deadline. Partial Tenders will be deemed as non-compliant. Tenderers are advised to keep a copy of the electronic receipt of successful Tender submissions.
Unless stated otherwise in this Invitation to Tender Scope, Guidance and Instructions for Completion (File 1) or in writing from the University, all communications from Tenderers during the period of this procurement exercise must be via the In-Tend portal using the 'Correspondence' function.
All communications should include the name, contact details and position of the person making the communication.

If you have any queries regarding this procurement which cannot be dealt with via the system, or regarding your In-Tend account, please contact procurement@soton.ac.uk or telephone 02380 592654 (available Monday - Friday 09.00 - 16.00)
