Description

- To manage and develop the SCAH Capital Programme document controls systems and archives.
- To liaise with stakeholders
- To produce training and guidance information
- To liaise, manage, develop and maintain an electronic records database.
- To control identification, accession, archiving, retrieval, return and disposal of records and documents using an appropriate documentation tracking system.
- To define and assure documentation for supporting key Capital Programme milestones and activities eg. Procurement
- To ensure prompt retrieval of documents on request from properly authorised persons.
- To operate security systems in accordance with internal and external policies and procedures.
- To provide an auditable trail of the incoming and outgoing programme/sub-programme/project documentation.
- To define, establish and maintain programme and project archiving structures.
- To ensure the amendment and maintenance of all mandatory publications, documents and notices.
- To ensure that the latest versions of documents are available at points of use and that locations are known to all users. This includes uploading and maintenance of any central system used by Capital Programme.
- To define and assure the Configuration Librarian for projects and be responsible for all master copies of project's specialist products.
- To define the controls, and assure, the receipt, identification, storage, status and issue of all project products.
- To issue and maintain a record of copies of products for review, change, correction or information.
- To define and maintain an issue log on behalf of project managers and notify copyholders of changes to their copies.
