Description

Winchester City Council seeking to appoint a professional consultancy to create a district wide searchable GDPR compliant Microsoft Excel business database. The internal database will be produced on Microsoft Excel and all the data will be collected from credible sources, such as the Chamber of Commerce, Companies House, internet searches and by contacting companies. The database will not be published and will not be a consumer facing product.

The data must be presented in a neat and orderly manner, with the capability for the council to continue to update and add businesses after the work has been completed. The fields that are required are (these will be confirmed in the project inception meeting):
Company name
Sector
Address
Postcode
Ward
Number of employees (where appropriate)
Gross turnover (where appropriate)
Email address
Telephone number
Website

With all the fields, there must be the ability to filter the data and search using criteria such as postcodes, sector, employee size and wards. There are approximately 8,000 businesses recorded in the Winchester district, there must be a minimum of 5,000 businesses included in the business database.

The council will benefit from the copyright of all material which will be used in any way that it chooses.

The quote should include provision and management of:

•GDPR and data protection
•An inception meeting with the council to discuss the project on 14 February 2023 and a meeting when the data has been provided to discuss any amendments on the 28 February 2023 (these meetings will be held on Microsoft Teams)
•Costs for all and any chargeable sources of data
•Including all businesses within the Winchester District

You must also confirm your availability to commence the commission on 14 February 2023 (attending a project inception meeting on that date), to produce a draft to be viewed by Winchester City Council on 28 February and to deliver the completed business database by the 10 March 2023.
