Description
The WMCA currently has an intranet system which is difficult for us to use, outdated and inefficient. An internal communications and employee engagement review was conducted and by far the biggest blocker for internal communications and engagement is not having a central key communications tool. Suppliers are invited to tender for the provision of a new Intranet Solution.
The agreement will be a contract with a single supplier expected to last for a maximum of 8 years on a 6+1+1 basis. WMCA reserves the right to review the contract at the end of year 6.
The contract start and end dates are indicative only and will be confirmed upon award. The contract value is for tendering purposes and the WMCA cannot guarantee that this level of spend will be incurred.

A number of suppliers were approached prior to the publication of the tender to find out more about their products/solutions. This exercise enabled the project team to test the market and find out what solutions were available in the open market, what functionalities were feasible, approximate timescales, and approximate costs.
A high level brief was sent to suppliers in order to shape and centre their presentations on some of the important requirements identified during the 'Requirements Gathering Exercise'.
The pre-tender engagement did shape the specification, however all relevant information shared at early engagement stage has also been included within the issued tender documents to ensure a level playing field and transparency.
